Donors Sign Up with Zip Codes outside primary area

If you run a campaign at a fair you will get signups from all sorts of zip codes.

As people sign up they may or may not be within your area of service.  In other words, their zip code may not be on your zips list in your Chapter Profile.    When they register they will be given an "out of area" notice and be directed to contact your Chapter Admin.   


You will also encounter situations where you have listed a zip code that is also listed by other chapters.  It might be an area that 


One solution is to provide service to those zip codes.   Go to USERS in the Admin drop down and sort by Zip Code.   If you zips that aren't on your zipcode list, add them to your zip code list (go to Chapter Profile/Zips and Zones).


If you think they may be better served in a different chapter do this;   go to Messaging in the "Communications" drop down in the main menu.      Select Events (if you don't have an event set up yet, set one up and include all donors in all zones).   Select the event, then sort the list by zip code.   Select "NON" in the blue boxes just above to uncheck all users.   Now you'll see the zips that aren't in your primary area, click those one by one and send them a message.   


Something like "Thank you for registering.  I see you registered inside Windsors program.  There is also a program for Santa Rosa.   If you prefer to stay in Windsor please send an email to markmdill@hotmail.com and say "Windsor" in the Subject line.  If you prefer Santa Rosa's program, put "Santa Rosa" in the subject line.      We will see you on September 6th sometime after 9am to pick up your bag!  Thank you".   


Take a screen shot or jot down those users and their email as a cross reference.   For those that wish to remain, don't do anything.  For those that want to switch to the other chapter, send that list to markmdill@hotmail.com, he is the Site Admin and will relocate them to the other chapter.  


There is another situation you still need to look for; and that is people that signed up and entered an zipcode that is not on your zip/zone list.   When you create routes for your next event, these people will show under "unrouted", and they will get an email that offers them the option to self-drop, donate money, or shop on-line depending on what features you set up in your Chapter Profile.


When you are ready to relocate users to another chapter, send that email with a list to support@porch2pantry.org
